How Fares Are Researched

Manual research by a human advisor. Not automated.

TravelFirst does not use a live booking engine, real-time pricing aggregator, or automated fare search system. When you submit a travel request, a TravelFirst travel advisor manually researches available flight options using the tools and resources at their disposal at the time of research.

Options presented to you are based on availability and pricing at the time the advisor conducted their research. Fare availability and pricing in airline systems changes continuously — sometimes within minutes. The fares presented in your quote reflect a point-in-time snapshot, not a live or guaranteed price.

TravelFirst fare research is NOT:

Quote ≠ Reservation ≠ Ticket

Three distinct stages. Each must be completed separately.

Critical Distinction

"A quote is an informational document showing estimated fare options. A quote is not a reservation. A reservation is not a ticket. A ticket is not issued until payment has cleared and the booking has been confirmed by the carrier."

Understanding Each Stage

Stage 1 — Quote

An informational document prepared by a TravelFirst advisor showing estimated fare options based on research conducted at a specific point in time. A quote is not a hold, reservation, or guarantee. Fares can change — and availability can disappear — between the time of the quote and the time of authorization.

Stage 2 — Reservation

A reservation is a hold on a specific fare and itinerary, created within an airline reservation system. TravelFirst will attempt to secure the fare you have authorized at the time of payment. A reservation is not a ticket — seat assignment and carriage are not confirmed until a ticket is issued.

Stage 3 — Ticket

A ticket is the legally binding document of carriage issued by the airline that confirms your right to travel on the specified itinerary. Ticket issuance occurs after payment has cleared and the booking has been confirmed by the carrier. An e-ticket number is the confirmation that a ticket has been issued.

What a Quote Includes

Every line item, identified and disclosed.

A TravelFirst quote is a written document that shows all cost components for the proposed itinerary. A complete quote will include:

  • Estimated base fare — the underlying airfare component before taxes and surcharges
  • Estimated government taxes and airport fees — taxes and fees levied by governments and port authorities
  • Estimated carrier surcharges — fees imposed by the airline (e.g., fuel surcharges, carrier-imposed fees)
  • TravelFirst agency fee — always shown as a separate, clearly labeled line item; never embedded in the airfare
  • Charging party disclosure — which entity will charge which component to your payment method
  • Fare class and conditions summary — the fare basis, change conditions, and cancellation rules
  • Quote expiration date and time — the date and time by which you must authorize if you wish to proceed with this quote

All quotes are informational estimates.

All amounts shown in a quote are estimates at the time of research. Final amounts are confirmed in the authorization document, which is prepared after the fare is verified at the time of processing. You will always be informed of the final amount before any charge is made.

Fare Validity and Changes

Fares can change. Here is what happens when they do.

Airline fares are subject to continuous repricing by the carrier. A fare presented in a TravelFirst quote is based on availability at the time of research and may not be available at the same price or in the same fare class at the time your authorization is received and payment is attempted.

  • Quoted fares may change between the time of the quote and the time payment is processed
  • Quoted fares may no longer be available in the fare class shown
  • Availability can disappear entirely, requiring a different itinerary or routing

What happens if a fare changes before payment:

Step 1: TravelFirst identifies the fare change before processing payment.

Step 2: TravelFirst notifies you of the revised fare — in writing, with a revised quote and revised total.

Step 3: You decide whether to authorize the revised amount or not proceed. No charge is ever made without your authorization of the final amount.
